Compare material quotations fairly

Put every supplier on the same specification before comparing price.
Start with one specification
Record grade, size, quantity, delivery point and schedule. State whether equivalent products are acceptable.
Ask for the full cost
Separate base price, tax, freight and unloading. Note quote validity, payment terms, minimum order and lead time.
Review quality evidence
Agree the required test certificates and inspection process. Check that the offered product matches the project requirements.
Record the agreement
Accept the chosen quote only after review. Use the order workspace to record confirmation, dispatch, receipt and any dispute.
Before you move forward
- Use the same grade, unit, quantity and delivery location for every quotation.
- Record whether tax, transport, unloading and installation are included or excluded.
- Compare lead time, quote expiry, payment milestones, inspection and replacement terms.
- Ask the supplier to clarify exclusions in writing before accepting the quote.
A practical example
A quote for ₹100 per unit with ₹20 freight is ₹120 delivered before any applicable tax. A second quote at ₹115 including freight may cost less, but only compare them after checking that quantities, quality, tax treatment and unloading scope match. These figures are illustrative, not live prices.
