Prepare a bid without losing track of the details

A practical workflow from the first notice to your final review.

Step 1

Read the original notice

Open the issuing portal, check dates and download the current notice, attachments and amendments. Save the reference so you can return to the same opportunity.

Step 2

Build an evidence checklist

Record each qualification requirement with its source. Match it to a current company document. Treat an absent or unclear requirement as something to clarify, not an automatic pass.

Step 3

Prepare the original forms

Use reviewed field mappings to bring profile details into supported forms. Check every filled field and keep the untouched original alongside the draft.

Step 4

Review the final version

Check prices, attachments, dates and any new amendments. Complete the portal’s signing and submission process yourself, then save your receipt in the bid workspace.

Before you move forward

  • Record the bid number, submission deadline and latest amendment date together.
  • For each requirement, note the document, page and evidence you will provide. Check certificate validity at the date required by the notice.
  • Before export, compare the company name and registration details across forms; check that every mandatory attachment is included.
  • Leave time for the issuing portal’s upload, signature and confirmation steps. Keep the submission receipt.

A practical example

If a notice requires five years of experience, a company incorporation date alone may not demonstrate the required work. Read the exact experience condition and match it to the completion certificates or other evidence the buyer requests.
